Clerk's Office

The primary role of the Clerk’s Department is driven by provincial legislation, most notably the Municipal Act, the Municipal Elections Act and the Municipal Freedom of Information and Protection of Privacy Act.

The department provides administrative support to Council and ensures that all the actions taken by Council are recorded and communicated. The Clerk is responsible for preparing and keeping all by-laws and resolutions that are passed by Council. The Clerk performs statutory duties under the Municipal Act, Line Fences Act, Planning Act, and other Statutes of Ontario. The Clerk also acts as the Returning Officer for Municipal Elections and is a Commissioner of Oaths.

Some of the functions performed by the Clerk are:

  • Secretarial and support services to Council and Council Committees.

  • Council agendas and minutes for Council meetings.

  • Municipal elections.

  • Lottery Licensing.

  • Corporate Records Management.

  • Requests under Section 239 of the Municipal Act for a Closed Meeting Investigation.

  • Requests under the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA)

Commissioner of Oaths

The Commissioners for taking Affidavits Act allows Municipal Clerks and other Officials to take various types of declarations and to administer oaths.

At the Municipal Office, the Clerk or the Treasurer is available to commission documents that require a Commissioner for Taking Affidavits (also known as Commissioner of Oaths).

Unfortunately, same-day appointments cannot always be accommodated. We kindly request that you make an appointment at least two (2) business days in advance to ensure availability.

The Commissioner of Oaths will witness the signature(s) of person(s) who are affirming/declaring the contents of a document to be true. The person must sign the document in the presence of the Commissioner of Oaths.

Please note the following:

  • The Village’s Commissioner of Oaths reserves the right to refuse commissioning services of any document.
  • A Commissioner of Oaths is not a “Notary Public”. If your document is required to be signed by a Notary Public, you must contact a lawyer and/or Notary Public.

$10.00 per document, payable at the time of signing by cash or debit.
